Send announcements to speakers or registrants

An announcement is a one-off email you send yourself — a room change, a reminder, a thank-you after the event. It always goes to ONE group: either everyone speaking, or everyone registered. Never both at once.

Open it

On a conference, click Announcements in the button row at the top. On a single event, click Announcements in the checklist.

Choose your audience

Pick Speakers or Registrants— you can’t send to both in the same message. Every screen after this point is color-coded and labeled with your choice, right through the confirmation box, so it’s always obvious who is about to receive this.

For speakers, you can message all of them, or pick specific people.

For registrants, you can message:

  • Everyone registered
  • Everyone registered for one session (conferences with more than one session)
  • VIP ticket-holders only (if your conference sells a VIP upgrade)
  • After the event: people who attended, or people who didn’t show up

Registrant sends only go to real, completed registrations — an abandoned checkout that never finished paying is never included.

Write your message

Subject and a plain message box. You can use **bold** and *italic*, and a link you paste becomes clickable automatically. You can add one optional button (a label and a link).

You can drop these into your subject or message, and we’ll fill them in per person:

  • {{first_name}}
  • {{conference_title}} or {{event_title}}
  • {{session_times}} — the recipient’s own session time(s)
  • {{my_link}} — their speaker hub or My Events page

A live preview below the message box shows exactly how it will look for a sample recipient.

Send a test to yourself

Click Send test to mefirst. It always goes only to your own email, however many real recipients you’ve chosen — use it to check the preview for real before anyone else sees it.

Send now, or schedule it

Click Send now to start sending — it goes out within about 5 minutes — or pick a date/time and click Schedule. Either way, you’ll confirm the exact audience and recipient count first — for example “Send to 412 registrants of Fall Summit?”. Once sending starts, it can’t be undone. A scheduled or not-yet-started draft can still be cancelled from the list below the composer.

Limits

  • One speaker announcement and one registrant announcement per conference (or event) every 24 hours. The composer shows you the exact next-available time before you write anything, and disables Send nowif you’re currently blocked — you can still schedule ahead or save a draft.
  • Sending a test to yourself never counts against this limit.
  • A big send goes out in batches — it may take a few minutes to reach everyone.

Where recipients see it

Speakers also see a short list of past announcements on their speaker hub. Registrants see theirs on their My Events page. Email delivery is the primary channel — these pages are just a backup in case an email is missed or filtered.

Things to know

  • Registrant announcements are treated like event reminders — they still reach someone who opted out of marketing email, the same way a reminder would.
  • The email comes from OpenCEU’s sending address, shown as “Your org name via OpenCEU.” Replying goes straight to you.
