Give speakers a promo kit and share files

The Speakers page on a conference shows who is speaking, how ready each person is, and gives you a speaker kit: promo graphics and captions your speakers can share, plus private files you can swap with each speaker.

Open the Speakers page

On your conference, click Speakers in the button row at the top. The speaker kit is available for conferences only.

Check your roster

Each person appears once, even if they speak in more than one session, with their sessions and times listed. Status labels show:

  • Has account: they already have an OpenCEU account under the email you entered.
  • Practice check: they ran the Practice Room setup check. We match it by the name they typed there, so if they used a nickname it may not show up.
  • Opened kit: they’ve looked at the speaker kit in their speaker hub.
  • Posted: they marked that they shared the promo, with a link if they added one.
  • How many files they’ve sent you.

Add promo assets

Under Speaker kit assets, upload an image (PNG, JPG, WebP or GIF) or a PDF, up to 15 MB. Give it a title, and if you like:

  • a caption speakers can copy with one click (plain text, up to 2,000 characters)
  • a link to a Canva template (canva.com links only)

Choose All speakers, or pick one person to send a personalized graphic to only them. You can edit or delete an asset at any time. Deleting it removes the file for everyone. A conference can have up to 50 assets.

Swap private files with a speaker

Click Fileson a speaker’s row. Upload a file only that speaker can see, like a slide template or run-of-show (PDF, Word, PowerPoint, Keynote or images, up to 25 MB). Files the speaker uploads for you, like their slides, show up in the same place for you to download. You can delete any file here, including one a speaker uploaded (you’ll be asked to confirm). Each speaker can have up to 20 files from you and 20 files to you.

Tell your speakers the kit is ready

The Speakers page never emails anyone. When your kit is ready, send a quick note with Announcements, choosing Speakers as the audience. Speakers find the kit in their speaker hub under each conference.

Things to know

  • Speakers only see a kit while their email is on at least one session. If you remove someone from every session, they lose access right away. Anything they uploaded stays on your page, marked “No longer on a session.”
  • Speakers sign in with the same email you entered for them.
  • All files are private. Download links are created when someone clicks and expire within minutes.
  • A file has to really be the type its name says. For example, a web page renamed to end in .pdf is rejected.
  • Archiving a conference hides its kit from speakers.
